Terms of Service
The terms on which a gym uses Alpha CRM, and what its members can expect from the portal.

Who these terms are between
These terms are the agreement between Nathanail Kinnis and the gym that subscribes to Alpha CRM. Where a written agreement has been signed between us and a gym, that agreement governs and these terms fill the gaps in it.
If you are a member using the portal, your membership contract is with your gym, not with us — its rules about fees, cancellation, classes and access are your gym’s to set. These terms still describe what the software itself will and will not do.
Accounts
There is no public sign-up. Staff accounts are created by us when a gym is set up, and after that by the gym’s owner; a member can sign in to the portal only after accepting an invitation from their gym. You are responsible for what happens under your account and for keeping your password to yourself, and you must tell us promptly if you think someone else has it.
A gym owner decides which role each member of staff holds — owner, trainer or front desk — and each role can see and do a fixed set of things. An owner can require two-step sign-in of owners or of all staff, and can remove a staff member’s access at any time. Giving someone an account is the gym’s decision and the gym’s responsibility.
Acceptable use
Do not use the service to break the law, to probe or circumvent its security, to reach another gym’s data, to upload anything you have no right to upload, or to disrupt the service for anyone else. Automated access that degrades the service for others is not permitted.
A gym must have a lawful basis for the member records it puts into the product, including any photograph. The Privacy Policy sets out how those records are handled and who is responsible for them.
Fees
Alpha CRM is charged as a flat monthly fee for the plan a gym chooses, plus a flat fee for each extra location where the plan allows more than one, in euro, and the rates are published openly on the pricing page. Prices there exclude VAT.
There is no per-member charge and no overage. Your invoice is your plan's monthly fee, plus a flat fee for each extra location on Gym — adding members, however many, never changes it.
Cancelling stops the next invoice; you are not billed again after that. Notice periods, refunds of amounts already paid, and any discount or trial are commercial terms — they are set in the written agreement with your gym rather than fixed here. To cancel, or if you are unsure which terms apply to you, write to info@alphacrmcy.com .
Money your members pay you
Card payments are created on the gym’s own Stripe account, which the gym connects in its settings, and settle into that account under the gym’s own agreement with Stripe: we create the charge and record the outcome, we do not hold the money, and we are not a payment service. A gym that has not connected an account takes no card payments through this application.
Payments recorded off-card — cash, bank transfer — are entered by gym staff and are the gym’s own record. Card numbers are entered on Stripe’s pages and never reach this application.
Availability and changes
We aim to keep the service available and will give notice of planned maintenance where we can, but the service is provided as it stands, without a guarantee that it will be uninterrupted or error-free. We may add, change or withdraw features; where a change removes something a gym relies on, we will say so before it happens. During planned maintenance the member portal and invitation links can be offline for a while; the staff dashboard stays available.
A gym’s data stays the gym’s. Its owner can download the gym’s records at any time as one file from Settings, as well as a complete file for any one member and CSV downloads of the reports. Photos are not in the gym-wide file: a member’s profile photo comes with that member’s own file, and progress photos only with the file a member downloads for themselves. If you need something those leave out, ask us at info@alphacrmcy.com .
Liability
Nothing here limits liability that cannot lawfully be limited — including for death or personal injury caused by negligence, or for fraud. Beyond that, the limits and exclusions that apply are those in the written agreement with your gym. If you have not been given one, ask us at info@alphacrmcy.com.
Ending the arrangement
A gym may stop using the service at any time. We may suspend an account that is being used in breach of these terms, or where continuing would expose other gyms or their members to risk, and we will explain why when we do.
After an account closes, personal data is dealt with as the Privacy Policy describes — including the records the gym is legally required to keep.
Governing law and courts
These terms are governed by the laws of the Republic of Cyprus, and the courts of Cyprus have exclusive jurisdiction over any dispute about them. This does not take away any protection a member has under the law of the country where they live.
Changes to these terms
When these terms change, the date at the top of the page changes with them, and gyms are told in advance of anything that affects what they pay or what they are permitted to do.
